Purchase Options & Cancellation Policy

This Purchase Options & Cancellation Policy outlines the terms governing all purchase types offered by DermaFirm USA, Inc. ("DermaFirm USA," "we," "us," "our"), including one-time orders, subscription orders, pre-orders, backorders, and professional/wholesale orders.Β Placing an order with DermaFirm USA constitutes acceptance of these terms.

Please review this policy in conjunction with our Refund & Return Policy, Shipping Policy, and Terms of Service.


1. One-Time Purchase Orders

Standard Orders:

  • One-time orders are processed and fulfilled as outlined in our Shipping Policy.
  • Orders may be cancelled or modified at no charge if requested before the order enters processing or fulfillment.
  • Once an order has been processed, packed, or shipped, it cannot be cancelled. You may follow our Refund & Return Policy after delivery.

How to Request a Cancellation:

  • Email jessica@dermafirmusa.com immediately with the subject line: "Cancellation Request – Order #[Your Order Number]"
  • Include your full name, order number, and reason for cancellation
  • Cancellation requests are processed during business hours (Monday – Friday, 9:00 AM – 5:00 PM EST)

We will make reasonable efforts to honor cancellation requests but cannot guarantee changes to orders already in fulfillment.


2. Subscription Orders & Recurring Purchases

DermaFirm USA may offer subscription, auto-replenishment, or recurring purchase options for select products. By enrolling in a subscription, you agree to the following terms:

2.1 Enrollment & Authorization
  • When you enroll in a subscription, you authorize DermaFirm USA to automatically charge your saved payment method for each recurring shipment at the selected frequency.
  • Subscription pricing, frequency, and discount terms are displayed at checkout and confirmed in your subscription confirmation email.
  • You must maintain a valid payment method on file to keep your subscription active.
2.2 Subscription Frequency
  • Available frequencies (e.g., every 30, 60, or 90 days) are displayed on each eligible product page.
  • Recurring orders are processed and shipped automatically based on your selected schedule.
  • You will receive a reminder email at least 3 days before each recurring charge and shipment.
2.3 Modifying Your Subscription

You may modify your subscription at any time by logging into your account at dermafirmusa.com. Available modifications include:

  • Changing delivery frequency
  • Skipping the next shipment
  • Updating products in your subscription
  • Updating payment method or shipping address
  • Pausing your subscription temporarily

Modifications must be made at least 48 hours before the next scheduled billing date to take effect for the upcoming order. Changes made after this cutoff will apply to the following cycle.

2.4 Cancelling Your Subscription

You may cancel your subscription at any time with no cancellation fee or penalty. To cancel:

  • Self-Service: Log in to your account at dermafirmusa.com β†’ Subscriptions β†’ Cancel
  • Email: jessica@dermafirmusa.com with the subject line "Subscription Cancellation – [Your Name]"

Important Cancellation Terms:

  • Cancellations must be submitted at least 48 hours before your next scheduled billing date to prevent the next charge and shipment.
  • If a cancellation is submitted after a recurring order has been processed or shipped, the order will be fulfilled and standard return policies will apply.
  • Cancellation does not automatically generate a refund for shipments already processed.
2.5 Failed Payments

If a recurring payment fails (due to expired card, insufficient funds, or other reasons):

  • We will attempt to charge the card up to 3 additional times over 7 days.
  • You will receive email notifications requesting payment update.
  • If payment cannot be processed, your subscription will be automatically paused or cancelled without further notice.
2.6 Subscription Pricing Changes
  • DermaFirm USA reserves the right to modify subscription pricing, products, or terms at any time.
  • You will receive at least 30 days advance notice via email of any pricing changes.
  • Continued enrollment after the notice period constitutes acceptance of the new terms.
2.7 Subscription Discounts
  • Subscription discounts apply only while the subscription remains active and in good standing.
  • If a subscription is cancelled and the customer requests to return previously shipped subscription items, refunds will be issued at the discounted subscription price paid, not the standard retail price.
  • Subscription benefits (loyalty discounts, free shipping thresholds, exclusive products) end upon cancellation.

3. Pre-Orders

From time to time, DermaFirm USA may offer pre-orders for upcoming product launches, limited-edition releases, or restocked items.

3.1 Pre-Order Terms
  • Pre-orders require full payment at the time of order placement unless otherwise stated.
  • Estimated shipment dates are provided as a guideline and are not guaranteed. Delays may occur due to manufacturer timelines, customs clearance, or inventory verification.
  • You will receive email updates regarding your pre-order status and estimated ship date.
3.2 Pre-Order Cancellation
  • Pre-orders may be cancelled for a full refund at any time before the product ships.
  • To cancel, email jessica@dermafirmusa.com with the subject line: "Pre-Order Cancellation – Order #[Your Order Number]"
  • Refunds for cancelled pre-orders will be issued to the original payment method within 5–10 business days.
3.3 Significant Delays
  • If a pre-order is delayed by more than 30 days beyond the original estimated ship date, you will be notified and given the option to:
    • Continue waiting for the order
    • Receive store credit equal to the pre-order amount plus a courtesy bonus
    • Receive a full refund to the original payment method

4. Backorders

If a product becomes unavailable after your order is placed:

  • You will be notified by email within 2 business days of the backorder status and estimated restock date.
  • You may choose to:
    • Wait for the item to restock and ship when available
    • Substitute with a comparable product (if available)
    • Cancel the backordered item for a full refund of that line item
  • The remainder of your order (if any) will ship as scheduled and will not be delayed by the backordered item.

Backorders extending beyond 60 days without a confirmed restock date will be automatically cancelled and refunded.


5. Professional, Wholesale & MedSpa Account Orders

Orders placed under a Professional, Wholesale, or MedSpa account are subject to additional terms:

5.1 Order Cancellation
  • Professional and wholesale orders may be cancelled within 24 hours of order placement without penalty.
  • Cancellations submitted after 24 hours, but before shipment, may be subject to a 10% administrative processing fee.
  • Once a wholesale order has been processed, packed, or shipped, it cannot be cancelled.
5.2 Custom & Special Orders
  • Custom orders, special-request items, opening orders, and minimum-quantity orders are non-cancellable once accepted by DermaFirm USA.
  • All custom and special orders require full prepayment and are considered final upon order confirmation.
5.3 Standing Orders & Auto-Replenishment

Professional accounts may set up standing orders or auto-replenishment schedules. These follow the same modification, cancellation, and payment terms as consumer subscriptions outlined in Section 2, with the following exceptions:

  • Modifications and cancellations must be submitted at least 5 business days before the next scheduled order.
  • Volume pricing, tiered discounts, and account benefits are conditional on maintaining active standing order status.

6. Limited-Edition, Promotional & Bundle Orders
  • Limited-edition products, promotional bundles, and special offers are subject to availability and may not be eligible for individual product cancellation or modification.
  • Once a bundle ships, it must be returned in full per our Refund & Return Policy. Partial bundle returns are not accepted.
  • Free gifts, samples, and promotional add-ons cannot be cancelled or refunded independently from the qualifying purchase.

7. Order Modifications

Before requesting any modification, please note:

Modifications We Can Accommodate (Before Shipment):
  • Shipping address corrections
  • Adding products to an unprocessed order
  • Removing products from an unprocessed order
  • Changing shipping method (additional charges may apply)
Modifications We Cannot Accommodate:
  • Changing the billing payment method after order placement
  • Applying discount codes after checkout (codes must be applied at the time of purchase)
  • Adjusting pricing based on post-purchase promotions or price drops
  • Splitting one order into multiple shipments after processing

8. DermaFirm USA-Initiated Cancellations

DermaFirm USA reserves the right to cancel any order, in whole or in part, at our sole discretion, including but not limited to:

  • Product unavailability or inventory discrepancies
  • Pricing or product description errors
  • Suspected fraudulent activity or unauthorized payment
  • Failure to verify customer identity, address, or payment method
  • Resale of professional-only products without verified credentials
  • Violation of our Terms of Service or any DermaFirm USA policy
  • Shipping restrictions or compliance issues in the destination region

If we cancel an order, you will be notified by email, and any payment made will be refunded in full to the original payment method within 5–10 business days.


9. Refunds for Cancellations
  • Cancellation refunds are processed to the original payment method used at checkout.
  • Standard processing time: 5–10 business days from cancellation confirmation, plus additional time depending on your bank or card issuer.
  • For cancelled subscription orders, refunds (where applicable) follow the same processing timeline.
  • DermaFirm USA does not issue cash refunds, check refunds, or refunds to alternative payment methods.

10. Chargebacks & Disputes

We require customers to contact us before initiating a chargeback or payment dispute related to a cancellation, subscription, or recurring charge.

  • Most issues can be resolved quickly through direct communication with our team.
  • Filing a chargeback without first attempting resolution may result in suspension or termination of your account and forfeiture of any pending refund.
  • Subscription customers who chargeback a recurring charge will have their subscription immediately cancelled and may be permanently barred from re-enrollment.

11. Communication of Cancellations

All cancellation requests must be submitted in writing via email to jessica@dermafirmusa.com. Verbal cancellation requests via phone, social media, or chat are not considered valid and will not be processed.

You will receive a written confirmation of your cancellation within 1–2 business days. If you do not receive confirmation, your cancellation may not have been received β€” please follow up promptly.


12. Policy Modifications

DermaFirm USA reserves the right to modify, update, or change this Purchase Options & Cancellation Policy at any time at our sole discretion.

  • Material changes will be communicated via email to active subscribers and posted on dermafirmusa.com.
  • The "Last Updated" date at the top of this policy reflects the most recent revision.
  • Your continued use of our services following any modification constitutes acceptance of the updated terms.

13. Governing Law

This policy is governed by the laws of the United States and the State of [Insert State of Incorporation], and any disputes shall be resolved in accordance with our Terms of Service and Legal Notice.
